Job Opportunity: Documentation & Training Specialist

Williams College seeks a Documentation and Training Specialist to join our team for an exciting opportunity to play a critical role in leading the college through a multi-year effort to replace our core Human Resources, Finance and Student systems through the implementation of Workday HCM, Financials and Student products. This is a four-year, full-time, term position. The goal of this project is to better support the people and processes essential to the academic and administrative functions of the College through improved process design, user interface, access to data and information security. This full-time role is eligible to work remotely up to two days per week from locations in MA, CT, NY, or VT – after the initial training period & subject to review and revision as policy evolves.

Responsibilities

Reporting to the Director of Project and Change Management, you will work closely with the project team and influential subject matter experts across the college to develop a comprehensive and sustainable Workday training strategy across all products (HCM, Financials and Student). The training program will support the initial launch of Workday and then transition to an ongoing training program supporting new and existing users in their roles.

Specific responsibilities will include (but are not limited to):

  • Establish and maintain a documentation style guide, standards, and templates for use across functional areas
  • Develop instructional material, coordinate, write, and edit content for Workday training materials and contextual help text
  • Lead production of engaging video tutorials/demonstrations for business processes
  • Work closely with both IT and the business owners to understand system and training needs for adopted Workday functionality
  • Identify where training gaps exist and create/update materials and documentation to address the needs
  • Participate in project planning activities, assessing necessary resources and estimating timelines for documentation development and production
  • Collaborate with departments and subject matter experts on the development and documentation of policies related to Workday business processes
  • Gather feedback to assess the effectiveness and continually improve existing documentation

Qualifications

  • A minimum of 4 years relevant experience, or equivalent education plus experience. A Bachelor’s Degree may substitute for up to 2 years experience
  • Good communication and interpersonal skills capable of maintaining collaborative relationships
  • Strong organizational and time management skills with the ability to meet deadlines
  • Proficiency with Microsoft Office (ie: Word, Excel, PowerPoint, etc) and G-Suite products
  • Excellent analytical and problem solving abilities
  • Attention to details even under pressure
  • Proficiency with content management tools (ie: WordPress) and video recording/editing software (ie: Camtasia)
